I fix the mess. I build the spaceship right the first time.

- I listen. I ask “what boring thing do your employees hate doing every day?” That’s where we start.
- I map. I draw the whole process. Every step. Where the data comes from. Where it needs to go.

Real Life Example
I had a client. A digital marketing agency.
Problem: Client was getting leads from forms, calls, dms , ads etc. They weren’t nurturing them. If someone books a call, no reminder was there , many times they miss the call. If someone says yes, it take 2 days to send the contract. When payment comes, team has no idea. They do onboarding and it takes a long time to onboard a new client. They everything manually.
I built the solution using Zapier. Here is what it does. Step by step:
- Lead Qualification: When a new lead comes in, they automatically qualify them. Asks questions in the form. If good fit, then they go to the next step. If bad fit, they get a nice email. It saves time for their sales team.
- Automated Nurture Emails: Qualified leads automatically get nurture emails. Goal is to book a call. They receive 3-4 email with 1-2 days delay timer between each email.
- Smart Call Reminders: If they book a time? Smart part. Nurture emails STOP. Now they get reminder emails. 2 days before the call. 1 day before. 1 hour before. 15 minutes before. All automatic. If they miss the call? They get a “reschedule” email automatically.
- Continuous Nurturing: If they don’t book? They just keep getting the nurture emails. Until they do something.
- Sales Pipeline Automation: Every step, their card in the sales pipeline moves. From “New Lead” to “Nurturing” to “Meeting Booked”. You always see the truth.
- Contract Generation: They have the call. If the call goes well, salesperson opens a simple form, fills client name, service, price and other information. Hits submit. The magic: A custom contract is made. Fills in all the client details, service, price automatically into a PDF. That PDF is emailed to the client right away. Not 2 days. Right away. Pipeline stage moves to “Proposal Sent”.
- Contract Tracking: Client signs the contract. They send it back. The system sees the signed PDF in the email. Creates a task for the team: “Client Onboarding – Follow Up”. Pipeline moves to “Contract Signed”. Client does NOT sign in 48 hours? System creates a task: “Follow up on unsigned contract”. So nothing sits.
- Payment Processing: Payment is made. This is big. I get a text. “Payment received for [Client Name]”. A Google Drive folder is made for that client. Brand new. Client gets an automatic email. Has 3 links: Intake Form link, their new Google Drive link (to upload stuff), and a link to book another call if needed. Pipeline moves to “Paid Client”.
- Client Onboarding: Client fills out the Intake Form. This is where the team work starts. Pipeline updates. All their answers from the form go into a nice Google Doc. Clean. A new Project is created in Asana (or whatever). Named after the client. Inside that project, different tasks are made. “Design Brief”, “SEO Audit”, “Content Plan”. Each task is assigned to the right team member. Automatically.
- Payment & Cancellation Handling: If payment is failed, system automatically track it. Creates a task: “Follow up on failed payment”. If client cancels the subscription, System pauses their access to anything. Or deletes their account. Cleanup is automatic.
- Fulfillment Tracking: When tasks in Asana are marked as completed, the system can automatically track it. It moves client to next stages automatically and send updates. It’s all connected together.
- Review Collection: When all the work is completed , system automatically asks for a review. At the right time, with a link. Reviews come in automatically. If no review left , friendly reminder is sent.
The Result: Now they don’t lose any lead. No client is forgotten. No manual onboarding. No payment is missed. The team knows exactly what to do and when. And what was the result?
